What is a carhire broker?
As international car hire broker, we offer a pre-paid, all inclusive product. We work with the best local and international rental companies continuously comparing terms, conditions and prices of all rental companies. In this way we can offer car hire at circa 17.000 locations worldwide for the best price and with favourable terms. However, each location/rental company differs in terms and conditions. The most important terms and conditions which apply to all our rental vehicles are listed in the following information. We are always at your service to answer any questions about additional terms and conditions for a specific location/rental company and there will always be information provided when booking.
What is included with your rental car?
The published prices are inclusive of: your choice of rental vehicle, unlimited mileage, legal liability, theft and damage insurance, partially paid off personal liability and local taxes. Unless otherwise mentioned in the specific car rental conditions.
What is not included with your rental car?
Fuel, personal accident insurances, extras and where applicable, young drivers' surcharges and extra driver surcharges. These costs vary by location. When making your booking you can ask for information about surcharges. Prices of locally purchased items may vary and are subject to change without prior notice. All costs must be paid at the location. An extra insurance can sometimes be mandatory if you are planning to cross borders. All extra options are advised excl. local VAT.
P.A.I. Insurance
Personal Accident Insurance. Most travel insurances offer coverage for personal accidents (check before departure). If this is not included in the travel insurance, you can purchase this insurance at the commencement of the rental.
Rental period
1 day is interpreted as a period of 24 hours. Included in this 24 hour period is the time where in you collect and return the rental vehicle.
Price guarantee
The Price guarantee is valid for the first 3 carhire categories promoted on each destination. We will match those competitive offers and adjust your reservation accordingly. This competitive offer applies for comparative groups of rental cars, all inclusions and duration of stay. The competitative product must be available at time of booking. We will acknowledge our price match when you can fax us the published competitive offer.
Price calculations
The published prices apply at the moment of going to print. However changes in federal, state or local laws and taxes can cause price increases. We reserve the right to adjust our prices at any given moment with increases or decreases in the stated prices. All prices are given in Euro and are inclusive of taxes. The prices for extra options that has to be paid locally (for example childseats) are without local tax. A weekly price is 7 consecutive rental days of 24 hours. One rental day is calculated as 25% of the weekly price. 2 rental days is calculated as 50% of the weekly price. 3 rental days is calculated as 60% of the weekly price. 4 rental days is calculated as 80% of the weekly price. 5, 6 or 7 rental days are calculated as a weekly price. Extra days are calculated as 1/7 of the weekly price. NB! US/Canada have different methods of calculating separate daily prices for different rental periods.
Pre-Payment
It is important that your payment is credited to one of our accounts. You can pay the rental costs via a bank transfer (this can take a few days process), a one time direct debit (From Dutch bank accounts only) or per credit card (VISA or Mastercard). For last minute bookings a direct debit payment or credit card are the fastest methods.
Cargroup and capacity
The stated capacity of the vehicle is a guideline. The type of vehicle given as an example is always one of a category and is subject to availability at the time of renting. We reserve the right to provide an alternative vehicle from the same category determined by the number passengers and other features.
Returning the vehicle
At the end of the rental period you must return the vehicle to the correct place at the arranged time undamaged and clean. Check that the vehicle is returned to the same rental company as it was collected from.
Rental agreement
We are an intermediary for the rental company. The rental agreement is made up by the vehicle rental company which provides the rental vehicle. Customers are therefore subject to the terms and conditions of the rental contract and the laws of the land wherein the vehicle is rented. We are therefore not responsible for loss, damage or changes to the vehicle, delays or changes which happen because of civil conflict, corporate dilemmas including air traffic, terrorist activity, natural or nuclear disasters, fire or unfavourable weather conditions, cancelled flights, or airline bankruptcies. When you sign a local agreement, this signifies that you accept the given category and you agree with the terms and conditions and local extras. Please keep the rental agreement at least till two months after the rental period.
Mechanical problems
In the case of mechanical problems you must immediately inform the rental company, the telephone number can be found on the rental agreement. Permission for reparations or a replacement vehicle must be given by the local rental company.
Quality control
If you are, for any reason, not satisfied with your rental vehicle, then you are advised to immediately report this to an employee of the rental company at the location. We find it very difficult to judge a claim about the state of a vehicle when the rental period is over. We must always be informed of any problems so that we are in a position to find appropriate solutions. You can register a complaint with us in writing enclosing a copy of the local rental agreement and any relevant receipts and invoices, within 8 weeks of the return of the vehicle. When dealing with the problems and complaints, we will take on the role of mediator between you, the hirer and the rental company. Voluntary insurance payments paid at the location cannot be reimbursed. If you have any doubts about the offer of the local supplier, please contact us immediately. No reimbursement can be made if you have accepted certain car type or alternatives or insurances at the location without intervention or information from us. If you have any complaints about the rental, service, Holiday Cars or the local supplier we invite you to send a letter to Postbus 300, 2170 AH, Sassenheim, Holland for the attention of After Sales. You may also send an e-mail to aftersales@holidaycars.com.
Cancel and modify a booking
Cancellations and/or modifications can only be made through us before the pick up date and time on the voucher. Cancellations and/or modifications must be reported before the official rental period starts. We don’t accept cancellations or modifications made with the local supplier. Amendments to a booking will be free of charge. Cancellation of a reservation without charge is possible within 24 hours of making the reservation, if the reservation is on request and if you wish to decline an alternative offer from us. Cancellation charges of €25 apply after the 24 hour period has elapsed. Cancellation charges of €50 apply if you cancel your reservation within 48 hours of the pick up time printed on your prepaid car rental voucher . No refunds will be given for rentals ended early, late collections, no shows or cancellations made after the rental start date, even if cancellation protection is taken. We can not accept a cancellation after the rental period has started and the costs will be 100%. We offer you the opportunity to buy a CANCELLATION PROTECTION for € 10.00 per reservation. This means that a reservation can be cancelled for whatever reason until the moment of collection of the rental vehicle.
Special requests
All additional items such as Child seats, roof racks, towbars, navigation, mobile phones and other extras are on request and subject to availability. Usually a surcharge must be paid at the location. Al extra local options are advised excluding local VAT.
Deposit and fuel
Most vehicle rental companies require you to pay a deposit equivalent to the personal liability, the cost of a full fuel tank and other additional charges incurred during the rental period. A credit card in the name of the main driver is mandatory. At all locations a cash deposit will not be accepted.
Damage liability
Unless damage to the vehicle is noted in the rental agreement before departure, you will receive a vehicle without problems or visible damage. You are therefore responsible for any damage that occurs as a result of incidents during the rental period to the limit of their personal liability.
Reimbursement
For (partially) unused vouchers there can be no reimbursement. No reimbursement is given when you collect your vehicle later or return it sooner than the given dates and times. This also applies when you cannot rent the vehicle because you are not in possession of the right official documents or you are not able to leave a deposit. Also there will be no reimbursement when you can not provide the request documents with a claim or when you have not contacted us about this at time or rental.
Allow for future corrections
The conditions shown are correct at time of publication, dd. 05 October 2007. Obvious mistakes are not binding. Please allow us to make future corrections.
Delays:
when during travelling (transport or others) you encounter a delay and the pick-up time will probably not be met, we urge you to contact us or contact the location itself (details shown on your “client voucher”). when either we or the local supplier are not informed the supplier may rent out the vehicle to others when the grace period has past. If the rental vehicle due to the delay can only be picked up after closing hours the supplier might account the client for an “out of hours fee”.
