What is a car hire broker?
As an international car hire broker, we offer a pre-paid, all inclusive product. We work with the best local and international rental companies, continuously comparing terms, conditions and prices of all rental companies. In this way we can offer car hire circa 17.000 locations worldwide for the best prices with favorable terms. However, each location/rental company differs in terms and conditions. The most important terms and conditions which apply to all our rental vehicles are listed in the following information. We are always at your service to answer any questions about additional terms and conditions for a specific location/rental company and there will always be information provided at time of quotation or booking.
Rental period
1 day is interpreted as a period of 24 hours. Included in this 24 hour period is the time where you collect and return the rental vehicle.
What is included in your rental car?
The published prices are inclusive of: your choice of rental vehicle, unlimited mileage, legal liability, theft and damage insurance, partially paid off personal liability and local taxes. Any exceptions will be mentioned in the specific car rental conditions.
What is not included in your rental car?
Costs such as fuel, personal accident insurances, extra options, young drivers' surcharges and extra drivers' surcharge vary by location. When making your booking you can ask for information about surcharges. Prices of locally purchased items may vary and are subject to change without prior notice. All costs must be paid at the location. An extra insurance may be mandatory if you are planning to cross borders. All extra options are advised excl. local VAT.
Price calculations
The published prices apply at the moment of printing out the voucher. However changes in federal, state or local laws and taxes may cause price increases. We reserve the right to adjust our prices at any given moment with increases or decreases in the stated prices. The prices for extra options to be paid locally (for example child seats) are without local tax. A weekly price is 7 consecutive rental days of 24 hours. One rental day is calculated as 45% of the weekly price. 2 rental days is calculated as 55% of the weekly price. 3 rental days is calculated as 60% of the weekly price. 4 rental days is calculated as 80% of the weekly price. 5, 6 or 7 rental days are calculated as a weekly price. Extra days are calculated as 1/7 of the weekly price. NB! US/Canada has different methods of calculating separate daily prices for different rental periods.
Price guarantee
The Price guarantee is valid for the first 3 car categories promoted on each destination. We will match those competitive offers and adjust your reservation accordingly. This competitive offer applies for comparative groups of rental cars, with the same included options and duration of rental. The competitive product must be available at time of booking. We will lower our price accordingly when you fax us the published competitive offer.
Car group and capacity
The vehicles mentioned on the website or in the reservation confirmation represent a category. The make and model are merely mentioned as example and could differ from the car presented at time of pick-up. We reserve the right to provide an alternative vehicle from the same category which is determined by the number passenger seats, number of doors, transmission and combustible. The availability is checked regular, nevertheless it remains a guidline. Therefore the reservation can be undone within 24 hours.
Deposit and fuel
Most car rental companies require you to pay a deposit equivalent to the personal liability, the cost of a full fuel tank and other additional charges incurred during the rental period. A credit card in the name of the main driver is mandatory. At all locations a cash deposit will not be accepted. At time of pickup of the rented vehicle, the lead driver needs to leave a deposit by credit card. The amount will be blocked from the credit card in the lead driver’s name. The responsibility lies with the renter who presents a valid credit card that is accepted by the supplier. Holidaycars.com bears no responsibility in case of a failed deposit-taking. Debit cards will not be accepted, such as Visa Electron debit card.
Special requests and local options
All additional items such as child seats, roof racks, tow bars, navigation, mobile phones and other extras are on request and subject to availability. Usually a surcharge must be paid at the location. Al extra local options are advised excluding local VAT.
When the additional rented item eventually will not be used or picked-up during the rental, the rental amount of this option will remain.
Damage liability
Unless damage to the vehicle is noted in the rental agreement before departure, you will receive a vehicle without problems or visible damage. You are therefore responsible for any damage that occurs as a result of incidents during the rental period to the limit of their personal liability.
Rental agreement
We are an intermediary for the rental company. The rental agreement is drawn up by the rental company that provides the rental vehicle. Customers are therefore subject to the terms and conditions of the rental contract and the laws of the land wherein the vehicle is rented. We are therefore not responsible for loss, damage or changes to the vehicle, delays or changes caused by civil conflict, corporate dilemmas including air traffic, terrorist activity, natural or nuclear disasters, fire, unfavorable weather conditions, cancelled flights, or airline bankruptcies. When you sign a local agreement, this signifies that you accept the given category and you agree with the terms and conditions and local extras. Please keep the rental agreement at least upto two months after the rental period.
Collecting the vehicle
To pick-up your rented vehicle you need to be in possession of a number of documents: your ID, a valid drivers license, the rental voucher and a credit card in lead drivers name. Clients may also be obligated to carry an International driver's license. Please refer to your National Automobile Club to inquire if an International driver's license may be required. It is important to provide us with your flight number prior to departure. The rental company monitors your flight to prepare the vehicle in time. In case of any delay we ask you to follow instruction under Subject "delays" in our general terms and conditions. On most airports a rental desk is located in the arrivals hall or just outside. Otherwise you might look out for a representative of the supplier (Meet and Greet) or a shuttle bus which will take you to the rental station. The exact details can be found on page 1 of the rental voucher. When you are picking up the vehicle at a city office the exact pick-up time and address are also mentioned on page 1 of the rental voucher. You are advised to check whether the fuel tank is full and whether there is any damage to the vehicle that is not noted in the rental agreement when collecting your rental car. All extras such as one way charges, surcharges for young and extra drivers, out of hours surcharges, child seats etc. must all be paid in full upon collection at the location. These additional options might be subject to local taxes.
Returning the vehicle
At the end of the rental period please return the vehicle undamaged at the agreed time to the correct location and rental company. It is wise to save the rental documents for a certain period after you returned the vehicle.
Delays
When you encounter a delay during travelling that might cause you to miss out the pickup time, we urge you to immediately contact us or the location counter itself (details shown on your “client voucher”). If neither of us is informed, the supplier may rent out the vehicle to others when the grace period has past. If the rental vehicle can only be picked up after closing hours due to the delay, the supplier might account the client for an “out of hours fee”.
P.A.I. Insurance
Personal Accident Insurance. Most travel insurances offer coverage for personal accidents (check before departure). If this is not included in the travel insurance, you can purchase this insurance at the commencement of the rental.
Quality control
If you are, for any reason, not satisfied with your rental vehicle, then you are advised to report this at the location of the rental company immediately. We find it very difficult to judge a claim about the state of a vehicle when the rental period is over. We must always be informed of any problems so that we are in a position to find appropriate solutions. Registering a complaint with us in Holland must be done in writing with a copy of the local rental agreement and payment methods. This must be done within 8 weeks of your return. When dealing with the problems and complaints, we will take on the role of mediator between the hirer and the rental company. Voluntary insurance payments paid at the location cannot be reimbursed. No reimbursement can be made if you have accepted certain alternatives at the location without intervention or information from us. Reimbursement
For (partially) unused vouchers there will be no reimbursement. No reimbursement is given when you collect your vehicle later or return it sooner than the given dates and times. This also applies if you cannot rent the vehicle because you are not in possession of the right official documents or you are not able to leave a deposit. Also there will be no reimbursement if you cannot provide the requested documents with a claim or if you have not contacted us about this at time of rental.
Cancel and modify a booking
Cancellations and/or modifications can only be made through us before the pickup date and time on the voucher. Cancellations and/or modifications must be reported before the official rental period starts. We don’t accept cancellations or modifications made with the local supplier. Amendments to a booking will be free of charge. Cancellation of a reservation without charge is possible within 24 hours of making the reservation, if the reservation is on request and if you wish to decline an alternative offer from us. Cancellation charges of €25 apply after the 24 hour period has elapsed. Cancellation charges of €50 apply if you cancel your reservation within 48 hours of the pickup time printed on your prepaid car rental voucher. No refunds will be given for rentals ended early, late collections, no shows or cancellations made after the rental start date, even if cancellation protection is taken. We cannot accept a cancellation after the rental period has started and the costs will be 100%. We offer you the opportunity to buy a CANCELLATION PROTECTION for € 10.00 per reservation. This means that a reservation can be cancelled for any reason until the moment of collection of the rental vehicle.
Mechanical problems
In the case of mechanical problems you must inform the rental company immediately. The telephone number can be found on the rental agreement. Permission for reparations or a replacement vehicle must be given by the local rental company.
Pre-Payment
It is important that your payment is credited to one of our accounts, after that you will receive your voucher from us. You may complete the payment via various payment methods in our booking process.
Local / Additional options
Costs of additional items which are to be paid locally, local surcharges and mandatory fees may vary and are subject to changes. The cost is only indicating, because the actual amount might change during the course of reservation up to the point of pickup.
